This Privacy Policy explains how Prime-Site Studios (“Prime-Site,” “we,” “us”) collects, uses, shares, and protects information when you visit prime-site-studios.com, talk to our AI assistants, or use our services. Who we are
Prime-Site Studios is a U.S. business based in Vancouver, Washington that builds and operates AI systems (AI receptionists, chatbots, websites, and related automation) for other businesses. For the data described below, Prime-Site Studios is the data controller. When we operate an AI receptionist or chatbot on behalf of a client business, we act as that client’s data processor and handle end-customer data under our agreement with them.
Information we collect
- Information you give us: your name, business name, email, phone number, and anything you type or say when you fill out a form, use our chat or AI assistant, request or build a demo, book a call, create an account, or place an order.
- Conversation content: messages you send our website chatbot and, for the AI receptionist demo line, your call audio and a transcript. Calls handled by our AI may be recorded and transcribed — see “Calls and recording” below.
- Order & account data: the services you buy, your subscription status, and a payment ledger (amount, date, method). We use manual payment methods (Zelle, Venmo, wire, check) and do not collect or store card or bank-account numbers on this site.
- Usage & device data: IP address, browser type, device, pages viewed, and referral source, used to keep the site secure, measure traffic, and understand which pages lead to inquiries.
- Client project materials: if you send us materials to deliver a service (for example, real-estate listing photos for a video), we process them only to deliver that service.
How we use your information
- To provide, deliver, and support the services and demos you request.
- To respond to inquiries and send service messages (account sign-in links, order and delivery updates).
- To operate our AI assistants — your messages/calls are sent to our AI provider to generate a reply (see below).
- To improve and secure our website and services, and to prevent fraud and abuse.
- To send marketing only where permitted by law and your preferences; you can opt out anytime.
Legal bases (EEA/UK visitors)
Where GDPR/UK GDPR applies, we process personal data on these bases: performance of a contract(to deliver a service you ordered), legitimate interests (to run, secure, and improve our business and respond to inquiries), consent (for optional marketing, where required), and legal obligation (tax and accounting records). You may withdraw consent at any time.
AI processing
Our chatbots and AI receptionist are powered by Anthropic’s Claude models. When you interact with an AI assistant, your message (and, for calls, your audio/transcript) is sent to Anthropic’s API to generate a response. Under Anthropic’s commercial terms, this API data is not used to train their models. Our AI assistants disclose that they are AI when asked.
Calls and recording
Our AI receptionist answers phone calls. Calls may be recorded and transcribed to operate and improve the service. Some U.S. states (including Washington and California) require all parties to consent to recording — where applicable, callers are notified at the start of the call, and continuing the call indicates consent. If you do not want to be recorded, do not continue the call. Calls are carried by a third-party telephony provider that processes call metadata and audio to place and connect calls.
Service providers (sub-processors)
We share information only with the trusted providers that help us operate, and only as needed to run the service. They are bound by contract to protect your data and not use it for their own purposes:
- Vercel — website and application hosting.
- Neon — encrypted database (leads, orders, conversations).
- Resend — transactional and permitted marketing email delivery.
- Anthropic — AI model processing for our assistants (see “AI processing”).
- Telephony provider — carries and connects AI-receptionist phone calls.
- Cloudflare — domain/DNS.
We do not sell, rent, or trade your personal information to anyone. We may disclose information if required by law or to protect our rights, users, or the public.
Cookies & tracking
We use only essential cookies — for example, a secure session cookie that keeps you signed in. We do not run third-party advertising trackers on this site. We may use privacy-respecting, aggregate analytics to count visits and understand which pages perform. You can control cookies through your browser settings.
Email & SMS communications
We follow the CAN-SPAM Act for email: every marketing email identifies us and includes an unsubscribe link, and we honor opt-outs promptly. If we ever send SMS, it is only with the required consent and includes STOP instructions. You can opt out of marketing anytime by replying “unsubscribe”/“STOP” or emailing slicrook@icloud.com. We will still send necessary service/account messages.
Your privacy rights
Depending on where you live, you may have the right to:
- Access / know what personal information we hold about you.
- Correct inaccurate information.
- Delete your information.
- Port a copy of your information.
- Opt out of marketing, and of any “sale” or “sharing” of personal information (we do neither).
- Not be discriminated against for exercising these rights (CCPA/CPRA).
To exercise any right, email slicrook@icloud.com — we verify your request and respond within the timeframe the law requires (and usually within one business day). You may authorize an agent to act for you. EEA/UK users may also complain to their local data-protection authority.
“Do Not Sell or Share My Personal Information”
We do not sell or share your personal information for cross-context behavioral advertising, so there is nothing to opt out of — but you may still email us to confirm and to exercise any other right above.
Data retention
We keep information only as long as needed to provide the service and to meet legal, tax, and accounting obligations, then delete or anonymize it. Order and payment records are generally kept for up to 7 years for tax purposes. Chat/lead records are kept while a relationship is active and for a reasonable follow-up period after. You can ask us to delete your information sooner at any time.
International transfers
We operate in the United States, and our providers may process data in the U.S. and other countries. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for transfers of EEA/UK personal data.
Data security
The site is served over HTTPS/TLS with HSTS. Account sign-in uses one-time, passwordless links, and we store only a hashed version of those tokens. Sensitive secrets are encrypted. We never store your banking or card details. No method of transmission or storage is 100% secure, but we work to protect your information and will notify affected users and regulators of a breach as required by law.
Children
Our services are for businesses and are not directed to anyone under 18. We do not knowingly collect information from children.
Changes
We may update this policy; the “last updated” date above will change. Material changes will be posted here.
